Scope of This Policy
This Policy applies when you visit somovs.com, submit a project request, contact SOMOVS, work with SOMOVS as a client or supplier, or exercise a privacy right. It does not govern websites or services operated by third parties.
Information We Collect
Depending on how you interact with SOMOVS, we may collect:
- identity and contact details, such as your name, email address, telephone number, company and role;
- enquiry and project details, such as the service requested, desired timing, budget range, message and files you provide;
- business records, such as proposals, accepted scope, contracts, invoices, payment status, correspondence and project decisions;
- technical data, such as IP address, browser and device information, requested pages, referral source, security logs and your cookie-consent choice; and
- analytics and advertising identifiers and interaction data, but only after you consent to optional cookies.
Please do not send passwords, payment-card details, government identifiers, health information or other sensitive information unless SOMOVS specifically asks for it and provides a secure way to send it.
How We Receive Information
We receive information directly from you through the website, email, telephone and project communications; from a client or representative who involves you in a project; automatically from your browser and security systems; and from the service providers used to host, protect and measure the website.
Why We Use Information
We use personal data only for the following purposes and legal bases:
- to answer an enquiry, assess a project and prepare a proposal — to take steps at your request before entering into a contract;
- to deliver services, manage changes, communicate, invoice and receive payment — to perform a contract;
- to maintain accounting and tax records and respond to lawful requests — to comply with legal obligations;
- to protect the website, prevent abuse, maintain records and establish or defend legal claims — for SOMOVS’s legitimate interests in security and business administration; and
- to measure website use and advertising results — only with your consent.
Where consent is the legal basis, you may withdraw it at any time. Withdrawal does not affect processing that was lawful before withdrawal.
Service Providers
Personal data may be processed by providers that support website hosting and forms (including Webflow), email and cloud storage, analytics and advertising after consent (Google), banking and accounting, security, professional advice and approved project contractors. They receive only the information needed for their task and are required to protect it. Data may also be disclosed to public authorities where the law requires it.
International Data Transfers
Some providers may process data outside the European Economic Area. Where this happens, SOMOVS relies on a European Commission adequacy decision, approved standard contractual clauses or another lawful safeguard. You may request information about the safeguard used by contacting hello@somovs.com.
How Long We Keep Information
- enquiries that do not become a project: up to 12 months after the last meaningful contact;
- project correspondence and working records: for the project and normally 3 years after completion, unless a longer period is needed for a contract or legal claim;
- contracts, invoices and accounting records: for the period required by Latvian accounting and tax law;
- website form and security records: normally up to 90 days, or longer when needed to investigate an incident;
- Google Analytics user-level data: normally 14 months; and
- cookie and local-storage records: for the periods stated in the Cookie Settings notice.
When a retention period ends, the data is deleted, anonymised or securely archived where continued storage is legally required.
Data Security
SOMOVS uses reasonable technical and organisational measures to limit access, protect accounts, reduce unnecessary collection, maintain backups where appropriate and securely dispose of data. No internet service is completely risk-free, so please use the designated contact channels and do not send secrets through the public form.
Your Privacy Rights
Subject to the GDPR and any applicable limitations, you may request access to your personal data, correction, deletion, restriction, portability, or object to processing based on legitimate interests. You may withdraw consent at any time.
Send a request to hello@somovs.com. SOMOVS may ask for information needed to verify your identity and will normally respond within one month. You may also lodge a complaint with the Latvian Data State Inspectorate at https://www.dvi.gov.lv.
Children’s Privacy
The website and SOMOVS services are not directed to children under 18. If you believe a child has submitted personal data without appropriate permission, contact hello@somovs.com so it can be reviewed and deleted where required.
Changes to This Policy
This Policy may be updated when the website, services or legal requirements change. The current version and its effective date will be published on this page. Material changes will be highlighted where appropriate.
